Terms and Conditions of Business (Legalisation Services)

These Terms and Conditions form the agreement between you (the “Client”) and Amanara UK Ltd (“Amanara”) for legalisation services. By sending us documents or placing an order, you agree to these Terms.


1. Our Service

  • Amanara acts as your agent when dealing with the Legalisation Office and, if needed, solicitors or notaries.
  • Standard applications are normally completed within 4–5 working days from the time your documents arrive at our office.
  • A “straightforward application” means the documents are ready for legalisation, either as they are or after being signed by a solicitor/notary arranged by us.
  • If we need to obtain solicitor/notary authentication, we aim to keep within the 4–5 day timeframe. In rare cases where this is not possible, we will let you know straight away.
  • If your documents cannot be legalised, we will contact you promptly to explain why and advise on next steps.
  • Delays may occur due to Legalisation Office checks (e.g. missing signatures or seals, uncertified copies, incomplete attachments, etc.). These are outside our control.

2. Fees

  • Our current fees are always published on our website.
  • Unless otherwise stated, fees include VAT (where applicable).
  • If the Legalisation Office rejects your document because it was not suitable for legalisation, you will need to pay the apostille fee again once the issue is resolved. If the rejection was due to an error by the Legalisation Office, they will not charge again.

3. Payment

  • Payment in advance is required for all apostille orders.
  • Once you request a quote, we will confirm the fees before any work starts.
  • We accept payment by:
    • Bank transfer (preferred)
    • Debit/credit card (online or by phone)

4. Refunds

  • If your documents cannot be legalised for reasons that only become clear once the process has started, we will refund the apostille fee only.
  • Our service fee is non-refundable, as it covers the handling and processing work already carried out.

5. Delivery

  • Documents are usually returned by Royal Mail Tracked 24. This includes proof of posting, signature on delivery (with option without signature), and confirmation of delivery. Most documents arrive next day, but this is not guaranteed.
  • Other delivery options are available at extra cost, such as:
    • Royal Mail Special Delivery (next working day, by 1pm, with full tracking)
    • Domestic courier
    • International recorded mail
    • International courier (fastest, with online tracking)
  • Amanara’s responsibility ends once documents are handed over to the postal/courier service. Our service is considered complete at that point.

6. Data Protection

  • To provide legalisation services, we need to collect and process your personal data (e.g. contact details, document information).
  • We share documents only where necessary, e.g. with solicitors, notaries, the Legalisation Office, consulates, or embassies.
  • Some of these bodies may be outside the UK/EEA, and not all are subject to UK GDPR. We will only share documents where it is essential to complete your order.
  • We keep your information only as long as needed to provide the service and to meet legal/tax requirements.
